We only collect the details we need to deal with your roofing enquiry: your name, contact details, postcode and what the job is. We never sell your data. We use Meta (Facebook & Instagram) and Google advertising tools to measure how well our adverts work. You can ask us to see, correct or delete your data at any time by emailing repairs@samedayroofrepairs.co.uk.
1. Who we are
This website, www.samedayroofrepairs.co.uk, is run by Alpha Same Day Roofing Limited, a company registered in England and Wales (company number 17043531). In this policy, "we", "us" and "our" mean Alpha Same Day Roofing Limited.
We are the data controller for the personal information described in this policy. That means we decide how and why your information is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
If you have any questions about this policy or how we handle your information, email us at repairs@samedayroofrepairs.co.uk or call 020 8087 4715.
2. What information we collect
Information you give us when you fill in a quote or booking form on our website, fill in an enquiry form on one of our Facebook or Instagram adverts, call us, message us on WhatsApp or email us. This can include:
- your name;
- your phone number and email address;
- your postcode and the address of the property;
- the type of property, the service you need and your preferred date for a visit;
- any details, messages or photos you choose to send us about your roof.
Information collected automatically when you use our website:
- your IP address, browser and device type, and the page that referred you to our site;
- how you reached us, for example the advert or campaign you clicked (such as UTM tags or a Facebook or Google click ID);
- the pages you visit and actions you take, such as submitting a form or tapping a phone number, collected through cookies and similar technologies (see section 5).
Information from third parties. If you fill in an enquiry form inside a Facebook or Instagram advert, Meta Platforms passes the details you submit to us. Meta may pre-fill parts of that form from your Facebook or Instagram profile. You can check and edit those details before you submit.
We do not ask for any special category data (such as health information), and our services are not aimed at children under 18.
3. How we use your information
Under UK data protection law we must have a lawful basis for each way we use your information. This is how we use it and why:
| What we use it for | Lawful basis |
|---|---|
| Replying to your enquiry, giving you a quote and arranging a visit | Steps taken at your request before entering into a contract |
| Carrying out the roofing work, sending invoices and dealing with guarantees | Performance of a contract |
| Sending you an email to confirm we have received your enquiry, and calling or messaging you back about it | Steps taken at your request before entering into a contract |
| Keeping a record of enquiries and following up on quotes we have sent | Legitimate interests (running our business and responding to customers) |
| Measuring which adverts bring in enquiries, and showing our adverts to people likely to need a roofer (see section 4) | Consent, where cookies or pixels are involved. Otherwise legitimate interests (marketing our business) |
| Keeping our website secure and blocking spam form submissions | Legitimate interests |
| Keeping financial records and meeting our tax and legal obligations | Legal obligation |
We will only send you marketing messages, such as seasonal offers or reminders to have your roof checked, if you have agreed to receive them. You can opt out at any time by replying "STOP" or by emailing us.
4. Facebook, Instagram & Google advertising
We advertise on Facebook and Instagram (run by Meta Platforms Ireland Ltd) and on Google (run by Google Ireland Ltd). To find out which adverts work, and to avoid wasting money on adverts that don't, we use these tools:
- Meta Pixel. This is a small piece of code on our website. It tells Meta when someone who saw or clicked one of our adverts visits our site or sends us an enquiry. Meta can link this with your Facebook or Instagram account. We may use it to measure our adverts, and to show adverts to people who have visited our site or to people similar to our customers.
- Meta Lead Ads. If you fill in an enquiry form inside a Facebook or Instagram advert, the details you submit are sent to us so we can contact you about your roof. That form is covered by both this policy and Meta's Privacy Policy.
- Google Ads conversion tracking. This records when someone who clicked one of our Google adverts sends us an enquiry or taps our phone number.
Meta and Google act as independent controllers for the information they collect through these tools. You can control how they use it for advertising here:
- Facebook & Instagram: Ad Preferences and Meta Privacy Policy
- Google: My Ad Center and Google Privacy Policy
- Across many advertisers: Your Online Choices
5. Cookies and similar technologies
Cookies are small files saved on your device by your web browser. We also use "local storage", which works in a similar way. These are the ones our website uses:
| Name / provider | Purpose | How long |
|---|---|---|
_fbp, _fbc (Meta) | Advertising: measures and improves our Facebook and Instagram adverts | Up to 90 days |
_gcl_au and related (Google) | Advertising: measures enquiries that come from our Google adverts | Up to 90 days |
alpha_attr_v1 (local storage, our own) | Records which advert or website sent you to us, so we can see which campaigns bring in enquiries. Kept only on your device until you send us a form. | 90 days |
| Google Fonts | Loads the fonts used on our website. Google receives your IP address when the font loads. | Not stored as a cookie |
You can block or delete cookies and local storage in your browser settings at any time. The website will still work if you do. Find out more at ico.org.uk.
6. Who we share your information with
We never sell your personal information. We only share it where we need to, with:
- Our website and email host (SiteGround), which stores our website, enquiry records and email;
- Meta and Google, for the advertising purposes described in section 4;
- WhatsApp (Meta), if you choose to message us on WhatsApp;
- our digital marketing consultant, who manages our website and adverts and receives copies of enquiry notifications so they can make sure every enquiry reaches us;
- trusted tradespeople or suppliers working with us on your job, and only the details they need (such as the property address);
- our accountants, insurers and professional advisers, where needed;
- the police, courts or regulators, if the law requires it.
Everyone we share information with must keep it secure and use it only for the purpose we gave it to them for.
7. International transfers
Some of our providers, including Meta and Google, may process information outside the UK, for example in the European Economic Area or the United States. Where this happens, the information is protected by safeguards recognised under UK law. These include UK adequacy regulations, the UK–US Data Bridge, and the International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
8. How long we keep your information
- Enquiries that don't go ahead: up to 24 months from your last contact with us. After that we delete them.
- Customers we carry out work for: 6 years after the job is finished, to meet tax and accounting rules and to deal with any guarantee or warranty claims.
- Advertising and cookie data: for the periods shown in section 5, or as set by Meta and Google.
9. How we protect your information
Our website uses an encrypted (HTTPS) connection. Enquiry records are kept in a restricted area of our server that can't be reached from the internet. Only the people who need your information to deal with your enquiry can access it. No method of sending or storing information is completely secure, but we take reasonable steps to protect your details.
10. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to us using your information based on legitimate interests, including for direct marketing;
- ask us to send your information to you or another organisation (data portability);
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email repairs@samedayroofrepairs.co.uk. It's free, and we will reply within one month.
If you're unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time, for example if we start using a new service. The latest version will always be on this page, with the date it was last updated at the top.
